Job Opening: Program Coordinator, The Study Abroad Foundation (SAF)

The Program Coordinator will manage the enrollment of undergraduate study abroad (visiting non-degree) students from Brunei, China, Taiwan, Japan, Kazakhstan, Korea, Malaysia and Singapore who are attending SAF-affiliated host universities in the United States, Canada, Europe and Australasia.

The successful candidate will be responsible for processing 100-plus applications per semester and will take candidates from their initial admission review through to their host university submission, course registration, housing procurement and finally the issuance of final transcripts. Specific responsibilities include the evaluation and analysis of prospective students’ credentials, submission of qualified candidates’ applications to SAF host universities, communication with SAF Country Offices in China, Taiwan, Japan and Korea as well as affiliated host universities, creation of relevant program materials, and the provision of personal, cultural, academic and emergency advice and assistance for the duration of participants’ study abroad experience.

Essential Duties and Responsibilities to Include:

  • Communicate with the SAF Country Offices in Asia ensuring effective exchange of information and providing guidance regarding student placement, acceptance criteria, application deadlines, etc.
  • Ensure accurate input of data into the SAF student database and subsequent extraction of relevant data for weekly reports and enrollment projections; previous database experience required.
  • Create, organize and ensure integrity of applicant’s paper and electronic files
  • Screen, evaluate and submit applications to SAF host universities
  • Follow-up with host universities to facilitate quick turn-around on student acceptances
  • Ensure timely and organized delivery of information and materials to SAF Country Offices, and SAF host universities
  • Secure participant housing, orientation participation, class registration, and arrival transportation
  • Create, revise and review pre-departure orientation materials and on-site communication sequence including emergency protocol
  • Provide prompt on-site student support services via phone and email; provide after hours student support services as needed

 

Qualifications:

  • BA/BS required
  • 3 to 5 years or previous work experience in international education or higher education administration
  • Adept at prioritizing and multi-tasking
  • Demonstrated ability to take initiative, work independently, and exercise good judgment in addressing questions and problems
  • Knowledge of Microsoft Office applications
  • Energetic and creative with excellent verbal, written, and interpersonal communication skills
  • Strong teamwork skills and an interest in working in and supporting a rapidly changing work environment
  • Willingness to travel in the U.S. and abroad

Workshop: Reading Kuzushiji – Summer 2015 – University of Chicago

call for papers [150-2]The Japan Committee of the University of Chicago is pleased to announce that it will be once again be holding its Early Modern Japanese Summer Workshop: Reading Kuzushiji. This year the workshop will meet from June 15th-19th and will be led by Professor Ken’ichi Aratake of Tohoku University.  We invite applicants who are interested in reading print and manuscript materials from the Tokugawa and early Meiji periods.  The workshop will be conducted in Japanese and participants should have a working knowledge of classical grammar and hentaigana.

  • Oversees the maintenance of the international admissions databases.
  • Tracks statistics gathers data, and creates reports (i.e. IIE, Japanese Census, ANDEO, etc.).
  • Monitors compliance with government regulations ensuring a high standard of cooperation with FERPA and Department of Homeland
  • Security regulations with respect to admissions practices.
  • Collaborates with staff and outside agencies in resolving complex prospective student issues relating to admission and all pre-arrival issues (e.g. VISA complications, payment of SEVIS fees, etc.).
  • Establishes cooperative and collaborative relationships with Study Abroad Agencies, Education USA advisors and US Embassy officials as well as business and industry representatives in the United States. Collaborates with US Immigration attorneys in the best interest of their clients seeking education.
  • Oversees the work of student and casual employees.
  • Performs other related duties as assigned.

The Institute of Stem Cell Biology and Regenerative Medicine (ISCBRM) is seeking an Administrative Associate at 50% FTE (part time) to support an ISCBRM faculty member and the day to day operations of the lab and research program. This position will provide executive level administrative support. The ISCBRM research program is internationally renowned and is funded by multiple Federal and non-Federal sponsors and donors and includes a large contingent of laboratory staff, post-docs, graduate students and other highly trained professionals. The successful candidate will independently manage multiple responsibilities and projects as assigned and work with a lab manager to align faculty objectives and operations and determine priorities in a rapidly changing and dynamic environment. Incumbent will coordinate administrative activities as needed, maintaining complex calendars, and handling sensitive and confidential material.

Duties include:

  • Manage an extremely demanding calendar and conduct correspondence on behalf of the faculty. Act as a first point of contact for purposes of scheduling and calendar maintenance for faculty.
  • Assist with preparation and submission of manuscripts, abstracts, and protocols, this may include original writing, editing, proofreading and checking citations and references. Function as liaison between faculty and grants coordinator to ensure timely submission of grant materials and reports.
  • Monitor and coordinate revisions and renewals of APLAC protocols such that research projects comply with relevant institutional standards.
  • Initiate, organize, and manage a variety of departmental events including guest speakers, educational seminars, collaborative research meetings, and associated social engagements. Coordinate travel and reimbursement details for attendees, staff and visitors.
  • Regularly organize and review reimbursement submissions in an expedited and thorough manner for the faculty and the lab. Responsible for departmental credit card, place orders and monitor charges. Purchase lab supplies, create purchase order and justification, reimbursement, and track delivery.
  • Manage lab website and update as necessary.
  • Assist with screening of post-doctoral fellow applicants, manage correspondence and independently respond to inquiries on behalf of the faculty member.
  • Prepare general documents and templates using MS Word, Excel, and PowerPoint and Adobe Acrobat.
  • Assist in administrative operations as needed and other duties as assigned.
  • The candidate will also be expected to keep up-to-date with all relevant policies and procedures within the University.
