Duties & Responsibilities
Works closely with the Fellows Program director in administering a program for senior-level practitioners of international affairs. Assists director in developing the program calendar including a year-long seminar series, weekly breakfast meetings, special conferences and gatherings (including alumni conferences), and social and cultural outings.

Oversees logistical management related to events, including working with caterers, securing rooms, and ensuring availability of audio-visual equipment for presentations. Supports and maintains the Fellows’ office spaces, and collaborates with resident staff on building management issues such as renovations, furniture and equipment purchases, and shared conference space. Responds to all computer-related questions, serving as a first point of contact for information-technology problem solving and coordinating equipment purchases.

Works with outside vendors to order office equipment and supplies. Manages Program website, updates on-line calendar, and maintains database of program alumni. Performs financial transactions, including Web Voucher and PCard transactions. Appoints and tracks payments to undergraduate research assistants.

Manages Fellows’ University appointments and works with Harvard’s international office, providing administrative assistance with visas pre- and post arrival. Assists with the orientation of new Fellows.

Supports the integration of the Fellows into the Harvard intellectual community. Assists with publicity for seminars and events featuring Fellows. Other duties as required.

Basic Qualifications

BA or 3-5 years experience.

Experience working in an intercultural setting. Experience with Microsoft Office and Adobe Suite, and computer research skills are required.
Additional Qualifications

BA strongly preferred. Degree in a discipline with an international orientation preferred.

Strong computer skills and experience working with print and web design preferred.

Excellent organizational skills, with particular ability to prioritize work in an environment with multiple and conflicting interests.

Excellent interpersonal, intercultural, and communications skills.

Ability to work both independently with minimal supervision and as part of a team, to manage multiple tasks, to be detail oriented, and to establish priorities.

Ability to handle complex and confidential information with discretion.

Experience with Harvard’s administrative and financial systems strongly preferred.

Occasional evening overtime required.
