SUMMARY:

Based in Washington, DC, the Program Assistant position for the Critical Language Scholarship (CLS) Program assists in the recruitment and selection of applicants and the administration of intensive overseas summer language institutes for U.S. graduate and undergraduate students. Responsibilities include assisting with a variety of program logistics and clerical tasks, and responding to inquiries.

The position will require close attention to detail, the ability to handle multiple tasks and work independently, and a readiness to communicate with diverse groups of people. The Program Assistant will work closely with a dedicated team of CLS staff members and report to the CLS Project Director. While organizational skills and attention to detail will be an important plus for any candidate, experience and interest in study abroad and international education is also important. Some travel may be required.

The position is contingent upon funding. Review of submitted applications begins March 18, 2013.

DUTIES & RESPONSIBILITIES:

  • Process and maintain applications and files;
  • Respond to inquiries;
  • Track incoming documents;
  • Assist in the preparation and distribution of application data to reviewers;
  • Provide logistical support for meetings and events;
  • Facilitate processing of travel visas;
  • Make arrangements for domestic and international travel;
  • Assist in pre-departure orientation event planning, set up;
  • Participate in program outreach activities, including occasionally giving presentations;
  • Make arrangements for webinars and conference events;
  • Process invoices, check requests and payments;
  • Assist in maintaining and updating participant database;
  • Compile data and materials for grant proposals and reports; and
  • Provide support for CLS staff based in Washington, DC.

QUALIFICATIONS:

  • Bachelor’s degree required; experience in study abroad or working overseas preferred;
  • Strong written and oral communication skills in English; knowledge of a program language preferred (Arabic, Azerbaijani, Bangla, Chinese, Hindi, Indonesian, Japanese, Korean, Persian, Punjabi, Russian, Turkish or Urdu);
  • Demonstrated ability to manage routine office support tasks;
  • Strong organizational skills and attention to detail;
  • Ability to manage multiple priorities quickly and effectively;
  • Ability to work independently while contributing to an overall team effort; and
  • Effective interpersonal skills.
