ADMINISTRATIVE ASSISTANT II, Research Laboratory of Electronics (RLE), to provide comprehensive administrative support for the Laboratory for Electromagnetic and Electronic Systems. Will provide support to professors, e.g., preparing course material and other documents, making travel arrangements, processing travel and other reimbursements, procuring supplies and equipment, and processing personnel and financial transactions through RLE headquarters; coordinate events; greet laboratory visitors; provide telephone coverage; create and maintain filing systems; update web content; and provide procurement, travel, and general administrative support for students in the group. Will coordinate work activities and work closely with one other administrative assistant. Position involves frequent interaction with students, sponsors, researchers, faculty, RLE headquarters staff, and other administrative assistants.
REQUIREMENTS
- At least three years of professional experience in an administrative support role; strong organizational skills; fastidious attention to detail; and the ability to prioritize, anticipate, and initiate administrative tasks.
- Strong interpersonal skills and a customer service orientation expected, as is the ability to write and edit.
- Proficiency formatting technical publications with mathematical equations and graphics preferred.
- Must be willing to learn to update web content.
- A thorough understanding of MIT administrative processes, especially accounting, strongly preferred.
- Fluency in Japanese is highly desirable as the lab has many Japanese academic and industry collaborators.
